EXECUTIVE BOARD MEETING

Minutes of July 22, 2008

 

BOARD MEMBERS PRESENT:  Tim Trimble, Kerry Abbott, Terry Cavender,  Steve Bridge, Leta Meyer,  Steve Frucci, John Kilpatrick, Gilbert Haataia, Dennis Bower, Doug Ashmore,  Tim Graham, Don Farler, Keith Samplawski, Larry Neilson, Brian Macy, Dick Conley, Ed Bate, Gary Stamper, Mary Erickson

GENERAL INFORMATION

Minutes of May meeting

Financial reports ending may 31st, June 30th

a.       Some District IV schools are going to use League Minder

b.      District IV will be using League Minder; we will keep using the site we have until it is up and running.

c.       Send Steve information for fall tournaments

2008-2009 meeting dates were handed out

Assignments were made to District IV committees

List of schools who have not filed participation surveys

List of schools not filing membership forms with the state

District Directors Meeting report

a.       League minder will be explored by Tim Stevens for usage by all member schools

b.      There is still a problem with reporting District events to the WIAA staff

c.       Recommendation and a process  for schools changing districts was sent to the Executive Board

d.      Directors sent a recommendation to the Executive Board that the splitting the 1 and 2 teams into separate half of the brackets be discontinued

e.       Directors sent a recommendation to the Executive Board that the Soccer quarterfinals be played on Friday and Saturday at selected sites similar to the baseball  regionals

f.        Reminder of the three week window for fall sports

g.       Leagues were asked to check to see if they have all their District traveling trophies

h.       District Board members who were not at the meeting who wish to order District IV Executive Board jackets contact Director Frazer

 

LEAGUES

2-A Evergreen league nominated Scott Chamberlain WFW High School to Executive Board to replace Don Farler

Updated AD information to be sent to Director Frazer

Fall Activity league contacts to be sent to Director Frazer

A meeting for all new AD’s will be held at site/date TBD

Enrollment forms and Passes will be in the mail by August 14th

Schools need to fill out District tournaments site forms for 2008-2009

Fall allocation worksheets were handed out to leagues

Leagues send their meeting dates, times and sites to Director Frazer

Leagues reminded that combined and co-op programs have to be renewed this year

Schools wishing to host Football or Soccer playoffs must fill out the site evaluation form by Oct 1st.  (Only those that did not fill one out last year)

2008-2009 enrollment packages handed out

 

FINANCIAL

Coach’s passes

a.       District IV will accept only under the condition that the passes state “For District events only”

2008-2009 District IV budget

            a. Mileage remains at 48.5

            b. New enrollment fee structure

            c. 10% tournament fee for Football, Basketball and Soccer

            d. Classifications will be given $500 for awards and trophies

            e. 2008-2009 budget expenses $1000 less then 2007-2008

            f.   Investments have earned $3,144.10 as of 6/22

Enrollment fee structure for those schools that do not participate in athletic activities

           

DISTRICT TOURNAMENTS

Financial reports of 2007-2008 District tournaments

a.       Tournaments/Playoffs were down $17,000

b.      $198,195 was given back to schools and leagues

c.       Net profit on tournaments/playoffs has dropped from 51% in 2003-2004 to 40% this year

District tournaments prices.

a.       Motion to raise all District prices to $7/$5.  Motion failed

b.      Motion to allow children 5 years and younger in free/ Passed

Defined what constitutes a District event

Financial reporting procedures for District IV events was handed out

DISCUSSION

Amendments for 2008-2009

a.       Solving the public/private school concerns at the 1-A/2-B/1-B  levels

Price of fuel and its impact on school districts and its fans

a.       It is the consensus of District IV that the sooner we can go to some type of regional concept in all activities including basketball the better it will be for every one

b.      There is support in District IV for a regional format in basketball to get the best eight teams to a state tournament.

c.       There is support in District IV for using only three venues, with two classifications at each venue in a double elimination tournament

4.      Eligibility Committee will not hear a case unless Mary has all the paperwork before the hearing.  No form #5 or transcript no hearing

5.      Discussed  the multi-high school district edibility criteria

6.      Discussed criteria for establishing hardship
